Your UniFarm360 guide
Manage your herd on the iPhone and review shared farm records at www.unifarm360.com. This guide describes the current website and the latest Xcode iPhone build. Your TestFlight build may be older.
1. Sign in and select your farm
Use the same UniFarm360 account on the website and iPhone. A Cloudflare, Apple or Supabase dashboard account is separate from your UniFarm360 sign-in.
- On the website, click Sign in. Enter your UniFarm360 email and password.
- On iPhone, open Cloud and sign in with the same details.
- Select UniFarm360 Farm (or the farm you are working on).
- Tap Refresh farms & sync now. Check the status and the number waiting to upload.
A newly invited person must use the invited email address, confirm their email if required, sign in and accept the farm invitation. If an email link has expired, request a fresh link and use the newest one.
3. Scan with the Allflex APR250
UniFarm360 receives APR250 keyboard-style input. This route has been implemented and software-tested; an actual APR250 scan still needs to be tested with your reader.
- On the reader, select Bluetooth Slave mode and HID or HID smart. Pair it in the iPhone's Bluetooth settings.
- Use Single Read, Online Mode ON and Short ASCII 15 output. UniFarm360 expects one 15-digit EID and an Enter terminator.
- In Herd or Scan, tap Scan electronic tag. Keep the receiving field selected.
- Press the APR250's physical scan button near one animal's tag.
- The matching animal opens with its available identity, acquisition, birth, paddock, notes and lifecycle information. An unknown tag opens registration; saving is still required to create an animal.
Keyboard mode is one-way: the phone prepares to receive the ID but cannot remotely trigger the reader or confirm its Bluetooth connection. HID may hide the phone's on-screen keyboard; HID smart changes connection behaviour. See the manufacturer's APR250 manual, especially reader output and Bluetooth setup.
If a scan does not complete automatically, check that the full ID arrived and tap Open scanned animal. Incomplete IDs, unexpected text or multiple IDs in one input are rejected. Use Clear & scan again and scan one tag. A scan reads the animal's tag; it does not change its lifecycle status.
4. Register purchased or farm-born cattle
- Scan the electronic tag, or open Scan, enter it manually and tap Look up tag.
- An existing tag opens its record. An unknown tag offers registration.
- Choose Purchased or Born on farm, then record sex, breed and production purpose.
- For a purchase, enter the purchase date, supplier and purchase price in AUD; optionally record the birth date. For a birth, record the birth date and optional mother's tag.
- Add a name, paddock and notes as needed. Tap Save.
- Sync in Cloud to upload real records to the selected farm.
The acquisition origin stays with the animal throughout its lifecycle. Newly registered cattle start alive. Newborn cattle also require a tag identifier in UniFarm360; there is no untagged-animal registration flow.
Simulate a new tag creates a local-only demo after you save. Demo animals do not upload and may make the phone's count exceed the website's count. The bulk lifecycle tools exclude local demos and unsynced cattle.
5. Record cattle sold or died
Owners and staff can change lifecycle status online. Viewers can read records.
- Open Herd. Filter by status, breed, origin, sex, paddock or purpose, and/or search for a tag or name.
- On the website, tick animals or select all matching alive cattle, then click Mark sold or Mark died. Changing filters clears the web selection.
- On iPhone, tap Select cattle · Sold / Died. Tick individual animals or select all of the eligible filtered cattle.
- Choose Sold or Died and enter the effective date. For Sold, enter the total sale proceeds for the whole selection, not the price per animal. Add buyer details or other notes if useful.
- Review the selected count and average, then save.
Example: a $5,000 sale across five cattle records $1,000 for each. Where a total does not divide exactly into cents, shares differ by at most one cent and their sum matches the original sale total. UniFarm360 retains the batch total, date, selected animals, notes and recording user.
Sold and died cattle remain in the database and disappear from the default alive view. Choose All statuses, Sold or Died to find them. Exit dates cannot precede arrival or birth. A batch is applied together; invalid selections are rejected without partially changing animals. This version does not offer an undo or return-to-alive workflow for a saved sale or death, so review before saving.
6. Add and remove feedstock
Feedstock is shared centrally and requires an internet connection. On iPhone, the Feedstock tab sits immediately beside Herd.
Add feed
- Tap Add on iPhone (or the website's add-feed control).
- Enter the batch name, feed type, storage location, date, quantity and unit.
- Choose Purchased, Harvested on farm or Opening stock.
- For purchased feed, enter the total price in AUD and optional supplier. For harvested feed, enter the source field and optional harvest cost.
- For bales or bags, an average weight can be recorded to estimate mass. Add notes and save.
Types include pasture, lucerne, cereal and mixed hay; silage and haylage; grains; pellets; supplements; and Other. Home-grown hay is recorded as a farm harvest with its source field.
Remove feed
- Tap Remove.
- Select the batch and storage location. Check the available quantity.
- Enter the quantity, date and reason: Feed used, Spoilage / waste, or Stock correction. Spoilage and corrections require a note.
- Save. The central ledger reduces available stock and retains the batch and movement history.
A removal cannot exceed the stock at that location. Movements cannot be dated before the latest movement for that batch. Other movement controls in batch details support transfers and stock adjustments.
Read current stock
Expand Current stock on iPhone to see totals and batch locations. Pull down to refresh. Quantities in tonnes, kg, bales, bags and litres are tracked separately. Estimated mass only includes known conversions; it excludes litres and bales/bags with no recorded weight. Purchase spend and harvest costs are historical recorded costs, not a remaining-stock valuation.
The six sample batches contain 380 bales, 20 tonnes and 40 bags, with $18,760 purchase cost and $3,300 harvest cost. Any other feedstock you enter will increase the farm-wide totals beyond these sample-only amounts.
7. Farm users and activity
The website's Users workspace is available to the farm owner. It contains the account directory, invitations and User activity. Opening a user shows their activity. The owner can see account names, email addresses and registered mobile app installations. An installation ID is not a phone number or hardware serial number.
| Role | Access |
|---|---|
| Owner | Read/write farm data, add users, view the user directory and activity reports. |
| Staff | Read and enter farm data, including feedstock and cattle lifecycle changes. |
| Viewer | Read-only farm data. |
To add a person, create an invitation with their name, email and role, then share the invitation link. Automatic invitation email is currently disabled pending the Cloudflare email setup. The recipient sets their own password and accepts the invitation using the invited email. User management remains on the website; the phone supports sign-in and invitation acceptance.
UniFarm360 records the authenticated uploader of animal registrations, and the user who saves feedstock or lifecycle changes. Historical offline entry cannot establish who originally typed a record before upload.
8. Sync and troubleshooting
- My phone and website counts differ.
- Check the account, selected farm and filters. Pull down on Herd or tap Refresh farms & sync now in Cloud; refresh the website. Local-only demos count on the phone but do not upload. Sold and died cattle are excluded by the default status filter.
- Existing animals are waiting on the phone.
- Check Cloud status. Animals created before a farm was selected may need the explicit Assign and upload action in Cloud. Review the target farm before confirming.
- A scan opens no record.
- Use the actual electronic number and the same output format used at registration. SAMPLE tags cannot match physical chips. Check the selected farm, paired APR250 and receiving field. If online lookup fails but a local match exists, UniFarm360 opens it with a saved-data warning; no local match plus failed lookup does not create an animal.
- Can I work without mobile reception?
- Saved animal records remain available locally, and real registrations can queue for sync. Feedstock and lifecycle writes require a connection. A local animal view may be out of date until the next successful sync.
- Invalid login credentials or expired confirmation link.
- Use your UniFarm360 email/password, not your Apple or Cloudflare credentials. Confirm the account with the newest confirmation email. Never share passwords with another farm user.
- How do I export or print?
- Website Export CSV downloads the currently filtered animal list, including electronic tag, status, exit date and sale proceeds. Use your browser's Print command on this manual to print it or save a PDF.
- Does updating the website update TestFlight?
- No. Website changes need a Cloudflare deployment; iPhone changes need installation from Xcode or a new TestFlight build. This guide may describe features newer than your installed TestFlight version.
9. Reader Settings and NLIS lookup
The iPhone bottom bar contains Herd, Feedstock, Scan, Cloud and Settings. Open Settings to select your reader model and expected 15- or 16-digit output. Your choice is saved on this iPhone and is used by the scan screen. Changing it does not rewrite animal tags.
The catalogue includes Allflex/Agrident, Tru-Test/Datamars, Gallagher, Shearwell, Aleis, AgriEID, UTAGS, FarmXL/YardsTech and PTS reader ranges, including legacy and panel models. It is a configuration catalogue, not a promise of an implemented connection for every model or firmware version.
| Profile capability | What UniFarm360 can do |
|---|---|
| Allflex/Agrident APR250, APR600, AWR250 and AWR300 | Receive keyboard-style EID input when the reader is correctly configured for HID/HID smart. Pairing and a real scan still require hardware testing. |
| Generic keyboard-output reader | Receive a numeric EID followed by Enter, only if the reader actually supports iPhone keyboard output. |
| Other listed models | Save your selected profile and show its connection limitation. Direct Bluetooth, serial or Wi-Fi integration is not implemented yet; use manual tag entry until it is available. |
Keep the output format consistent with the tags already registered. UniFarm360 preserves leading zeroes and does not infer conversions between reader formats.
Australian repository lookup
NLIS is the official Australian livestock identification database. Open Settings → Look up an electronic tag, or choose Look up tag in NLIS from an animal's details.
- If you do not yet have access, follow the official NLIS account setup guide, arrange access to your property (PIC), and wait for account approval.
- Enter or review the actual RFID/NLIS number. Sample placeholders are not physical tag numbers.
- Tap Copy tag number, then Open official NLIS database.
- Sign in directly on the official NLIS website and paste the tag into a device/animal enquiry or report available to your account. Use the official report guides if needed.
Automatic lookup is not connected. UniFarm360 does not currently retrieve or validate NLIS results, store NLIS passwords, or submit cattle movements, sales or deaths. Automatic results inside UniFarm360 require a separate approved ISC API connection; a UniFarm360 account alone does not grant NLIS access. See ISC's integration access process.
Financials
Open Financials in the website sidebar. Choose Profit & loss, Livestock assets, Fixed assets & depreciation, Livestock sales & deaths, or Other income & expenses. Choose monthly or yearly reporting, calendar or July–June financial year, and the starting year. Export CSV downloads the selected report.
Farm owners can add and edit fixed assets and other income/expense records. Members can read reports for their farm. Fixed assets record acquisition, in-service date, cost, residual value, useful life in months and optional disposal proceeds. Straight-line book depreciation is calculated daily and capped at the residual; choose None for land. Corrections recalculate past reports.
Livestock uses recorded purchase cost, with zero recorded basis for farm-born animals. Sale proceeds less cost gives the recorded gain/loss; a death writes off the recorded cost. Missing costs are flagged. Feed addition costs are expensed on their recorded date. Do not duplicate cattle sales, feed costs or capital purchases in other entries. These are management reports based on recorded amounts, without GST adjustments, market valuations, unrecorded rearing costs or tax depreciation rules.
Simulated monitoring
Dashboard opens in Simulated monitoring. Switch to Recorded farm data for actual database records. All device values are simulated; no simulated readings or alerts change farm records. Select Sale, Ballarat, Bendigo, Mildura or Warrnambool to relocate the scenario in this browser. The selected farm’s alive-cattle count supplies the initial water demand count when available.
Water outlook shows current percentage, projected percentage after seven days, a 30-day reserve chart and an estimated time until empty. Open Water forecast assumptions to adjust head count, base drinking rate, dam volume, surface area, evaporation, catchment and runoff. Dam water moves through a tank to troughs; transfers are not counted as consumption. Trough buffer hours assume refill failure and are separate from total reserves. Beyond supplied daily weather, the model holds the last temperature with no further rain; this is an extrapolated scenario, not a long-range forecast. Areas, heat factors and runoff require calibration.
The Bureau of Meteorology connection is prepared but not live. The simulated weather sequence is explicitly labelled. Open Arrange BOM data access for an enquiry draft and the connection steps. Licensed daily forecasts will retain their supplied horizon, and longer-range probabilistic outlooks will remain separate. Observations that become stale are rejected.
Drinking-rate reference: Agriculture Victoria. The model’s heat adjustment and loss assumptions are illustrative, not calibrated forecasts.
Dashboard
The Dashboard is the opening website page. It summarises live cattle, active assets, feed balances and outstanding maintenance with labelled charts. Use Refresh dashboard after phone uploads. Cattle lifecycle includes sold and died, while breed and paddock charts include only cattle alive on farm.
For feed storage, select a storage asset on the Dashboard and choose Set storage capacity, or edit that asset in Assets. Enter its usable capacity, unit and exact Feedstock storage location (existing locations are suggested). One active storage asset can be linked to each location. Capacity is optional for non-storage assets. Recorded feed additions, removals and transfers determine current stored quantities.
Tonnes and kg convert directly. Bales and bags convert to weight only when their batch average weight is known; litres and count units are kept separate. Incompatible batches show an incomplete-utilisation warning. Over-capacity stores are highlighted. Missing capacity is not treated as zero, and unlinked stock locations are listed. Capacity is a planning indicator and does not prevent feed movements.
Water storage
The Dashboard lists each active dam, trough and tank separately. Choose Set water capacity or Update water level to edit its maximum capacity, actual water stored, volume unit (litres, kL or ML), and date of observation. Use the same unit for maximum and actual volume. Zero means empty; a blank actual volume means unknown. The fill bar and percentage use that asset’s recorded volumes. Levels below 20% are highlighted. These are manual observations, not live sensor readings. Retired assets are excluded.
Farm Assets
Below Herd and Feedstock, open Assets → Farm Assets. Filter by category, active/disposed status, or search name, asset number, location and serial number. Owners can add/edit assets; farm members can view and export.
Choose one of 14 categories and a matching item type (or Other). Record location, condition, dates, cost, residual value, useful life and notes. Optional serial number, operating hours and service dates support equipment. On an asset detail page, choose Add / delete photos. Take or choose up to three photos per asset, remove individual photos, then Save photos. Cancel leaves the gallery unchanged. These controls are available to the farm owner on both the website and iPhone. Maintenance and repair photos remain with their history entries. Images are resized before upload. Saved photos remain when you add another; remove individual photos using the Remove photo buttons. On the iPhone, take photos or choose them from your photo library while adding an asset. Photos upload when you save; a connection is required.
Assets and Financials use the same fixed-asset record and editor. Existing fixed assets appear automatically. Edits affect depreciation and book values in Financials; no duplicate entry is required. Asset numbers, when supplied, must be unique within the farm. Disposal retains the record.
Record asset maintenance
Open Maintenance directly below Assets in the sidebar on the website or iPhone to see outstanding Open and In progress issues. Use status filters and search; expand an issue to see dates, entered by, condition report, recommended repair action, time and photos. Existing missing recommendations show Not recorded. Owners can choose Report issue to add an entry. Select the active asset (or scan its UniFarm360 QR label on the iPhone). Choose its condition, issue type, status, date/time and minutes spent. Issues include Broken, Unserviceable, Wear and tear, Leak, Corrosion, Electrical fault, Structural damage and Safety concern. Enter zero minutes for an issue reported before work starts.
Take or choose up to three photos per entry. Save uploads the photos and maintenance history and updates the current condition. Older backdated logs do not replace a more recent maintenance condition. Open the asset to see the history, time and photos on either device. To close an existing issue, open it in Maintenance and choose Mark resolved. Enter repair notes, additional time spent and optional photos, then Save resolution. It disappears from Outstanding and remains in Resolved or All, with the original report and a separate repair history showing who resolved it and when. Use Mark resolved rather than creating a separate Resolved report for the same issue. Time spent does not automatically create a financial expense.
Assets → Remove retains the record as disposed. On the iPhone, Scan barcode selects the asset before you confirm the disposal. On the website, Scan / enter barcode accepts a keyboard-output scanner or pasted UniFarm360 label text. Always review the selected asset before saving.
Asset maintenance and replacement planning
Select UniFarm360 Demonstration Farm to view the saved sample scenario. In Assets, choose Show replacements due for overdue items and those due within the next 12 months. The Replacement due filter can show either group separately. Lists are ordered by due date, and the budget above the table totals the filtered items. Export CSV downloads that same selection.
Each asset records its assumed annual maintenance allowance, renewal date, estimated replacement cost and physical wear. These are planning estimates, not expenses or accounting depreciation. Replaced originals remain available under Asset status. Unknown historical costs, depreciation and maintenance records remain unknown. Owners can edit these fields using View, then Edit asset.
Financial planning budgets
In Financials, select Planned maintenance & replacements, then By month or By year. Choose a calendar year or July–June financial year; future years are available. Maintenance allowances are spread over 12 months and replacements fall in the due month. These use current active-asset assumptions, not historical expenditure. Overdue replacements appear separately and are not counted twice. Missing budgets are flagged. Planning figures never enter actual expenses or profit and loss. Export CSV includes the selected budget report.
Asset budgets versus actual spending
Financials → Planned maintenance & replacements compares planned and actual maintenance and replacement spending separately. Use the Asset dropdown to compare one item, or all farm assets. Actuals include only entries explicitly linked to those assets, excluding feed and other expenses. The current month is to date and future actuals are unavailable.
Choose Add income / spending, select Expense, then Asset maintenance or Asset replacement and the related asset. For replacement, select the original asset being replaced. Replacement payments track capital spending and do not enter P&L expenses; record the new asset separately in Assets for depreciation. Do not duplicate the payment as an other expense. Existing entries remain Other / unclassified until edited in Income & spending register. Historical plans reflect current register assumptions, not saved past budgets.
Asset barcodes and label printers
Open Settings to choose NIIMBOT B1, Brother PT-P910BT, Brother PT-P710BT, Brady M211 or a system printer. Match the template dimensions to your label roll; settings are saved separately on each device.
Open a saved asset and choose Print barcode. Each QR barcode uses the asset’s permanent central-database ID. Reprinting does not create a new asset. On the iPhone, Scan → Scan barcode opens the camera and looks up that asset in your selected farm, including retired assets.
For NIIMBOT B1, export the label image, save it to Photos and insert it into a label in the NIIMBOT app. Preserve the white border and test a single label. The iPhone app can connect directly to a NIIMBOT B1: choose B1 in Settings, tap Find NIIMBOT B1, connect the detected printer, then open an asset and tap Print one label on B1. Use white gap labels and match the roll dimensions. The B1 connection checks the model before enabling printing; other printer models use export. The system Print option requires a compatible installed or AirPrint printer. One 50 × 30 mm B1 label has been printed successfully and visually confirmed. Always test your own roll and scan the printed QR before labelling multiple assets.
Maintenance planning and orders
Equipment asset details show the equipment number, permanent database ID, manufacture date and manufacturer document links. A direct PDF link identifies an available manual; a manufacturer support link means the serial-specific manual must be requested. Example dates and defects on SAMPLE-E equipment are simulated. Original purchase costs are unknown.
When creating an order, search Tools & machinery and enter the quantities to collect. Leave unused tools at zero. Each quantity must be a whole number within recorded stock. Saved orders, printouts and linked Calendar details show the tool name, quantity and storage location. This is a collection list, not a reservation or checkout system.
In Assets, mark an item as a work-order tool and enter its count of items or complete sets. Asset cost refers to the whole record. Machinery, attachments and vehicles are also offered. The demonstration tools are labelled SAMPLE and have unknown purchase costs.
New orders have start and end dates, initially today and editable before saving. Saving automatically schedules the order in Calendar. Open a saved order and choose Edit dates, or edit its linked Calendar activity; both use the same central schedule. Older orders without dates can be scheduled using Edit dates or Calendar’s Schedule button.
Assign each new order to one or more active people from Personnel. Owners can open an existing order and choose Assign personnel to change the selection. Assigned names appear on orders and their Calendar details. This does not create login access, send notifications or change payroll. Names are saved as an assignment snapshot; reassign to update changed personnel names.
Open Maintenance to filter outstanding reports by location or search. Sort by priority, date, asset, location, issue, condition, status, reporter or estimated hours. Group by location/paddock, priority or asset.
Farm owners can set a priority and estimated remaining hours, then click Save plan. Select outstanding issues using their checkboxes or Select visible. The selection summary separates estimated hours still required from time already spent. Missing estimates are explicitly shown.
Choose Create maintenance order, review each required activity and estimate, and save. Saved orders appear below the list and can be printed or saved as PDF. They retain a snapshot of activities and hours; they do not resolve reports, create financial expenses or send messages. Resolve completed issues through their detail screen. Photos and report history remain attached to the original issue.
Farm datum and nearby GPS locations
In website Settings, the farm owner can set the shared latitude/longitude datum and each location’s east/north offset in metres. North is true north. Assets inherit their location/detail position. Matching radii provide nearby suggestions, not surveyed boundaries.
The demonstration farm uses fictional coordinates near Sale (-38.12, 147.08) and sample offsets. Replace these with measured positions before real field use. Moving the datum moves the relative layout.
In website Settings, use the map at the top, zoom and click or drag the pin to your farm datum, then press Confirm farm position. On iPhone, Add Asset loads the selected farm’s datum once and keeps it on that device for nearby suggestions. In Report maintenance, Use GPS location instead captures the actual report position, accuracy and time; it does not filter or change your selected asset. Tap Save to attach the position to the report. Remove GPS position omits it. Allow location access while using the app. No background tracking is used.
Personnel
The farm owner can open Personnel below Assets to add owners, staff and casuals. Staff and casuals have a selectable or custom AUD day rate, working hours per day, recurring days off and inclusive holiday date ranges. Click a name to edit details or mark the person inactive. These are planning records, separate from website accounts and invitations, and do not create payroll expenses. Rates and schedules are visible only to the farm owner.
Calendar
The demonstration farm has 24 SAMPLE seasonal activities from November 2026 to October 2027, assuming an autumn-calving cattle system. Click an activity date to see its paddock, sample personnel, required equipment quantities and collection locations. Dates and notes remain editable. Equipment/personnel allocations are planning snapshots, not bookings; outstanding equipment defects must be resolved before use. These plans do not create feed movements, livestock events or actual expenses.
Seasonal references: Agriculture Victoria pasture and breeding seasonality and Gippsland pasture sowing demonstration. Actual timing depends on soil moisture, weather, pasture maturity and professional advice.
Open Calendar directly below Assets for three months beginning with the current month. Choose Expand to 12 months for the full rolling year, or Show 3 months to collapse. Coloured FARM and WORK ORDER tickets open the selected activity with personnel, equipment, location and inclusive scheduled days. Work orders also show estimated work hours; unsupplied farm-activity hours are marked not recorded. Month headings show the year. Click a date to see activities and available weather. Owners can add harvest, sowing, maintenance, livestock, inspection and other activities, with paddock/location, inclusive start/end dates, notes and status. Activities are shared with farm members. Cancelled activities are retained but hidden from the calendar.
Under Maintenance orders to schedule, choose Schedule to assign dates to an existing order. The calendar shows its activities and estimated hours. Completing a calendar activity does not resolve maintenance reports; resolve those separately.
Weather symbols and maximum temperatures appear only for supplied forecast dates; click a date for minimum and maximum. BOM access is prepared but not yet connected. Optional simulated seven-day weather is explicitly labelled. Public holidays use verified Victorian 2026 and 2027 dates for the Sale farm; regional substitutions may differ. The 2027 AFL holiday awaits confirmation. Other years show a notice until dates are verified.
Records
Open Records directly below Maintenance. Uploaded farm documents are private to the farm owner. Upload PDF, JPG, PNG, TXT, CSV, DOCX or XLSX files up to 10 MB, with title, category, date and notes. Categories include invoices, receipts, manuals, tax filings, financial statements, insurance, contracts, farm plans, compliance, livestock/veterinary, maintenance and personnel documents.
Search or filter by category. Details / edit lets you update metadata or archive a document. Switch to Archived documents and uncheck Archived to restore it. Files are downloaded using temporary private links. Existing asset manufacturer-document links appear automatically under Manuals; those remain on their publisher’s website. Uploading an invoice does not automatically record an expense in Financials.
